First 'Meeting between archives and document management software companies' in Maspalomas

About thirty archivists from the island, officials from the areas of new technologies and contracting of the San Bartolomé de Tirajana City Council and representatives of companies specialized in the digitization of archives participated in the session.

 

This Friday, Maspalomas hosted the first 'Meeting between archives and document management software companies' organized by the Document and Archive Management Service of the San Bartolomé de Tirajana City Council.

 

The meeting was held in the conference room of the Maspalomas Cultural Center and took place between 9:30 and 14:00 p.m. with the participation of thirty professionals representing the public archives of the Island, from companies specialized in digitization. of document management and the municipal departments of Contracting and New Technologies of the southern council.

 

At the opening ceremony and greeting the participants, Mayor Marco Aurelio Pérez Sánchez spoke about the transcendental role that documentary archives play in public administrations, and the growing need for them to operate fully adapted to new management technologies. electronic documentary. “The digital transformation of archives, for security and operability, is an increasingly necessary task. For economy of means, saving of physical space and storage costs, and for immediacy in the processing and management of documents for their availability of access in consultation tasks,” he stated. 

 

“In the midst of the digital era, archives cannot be oblivious to the transformation that we are experiencing in terms of the way of working and the way that administrations relate to their neighbors, so the leap towards a digital archive is practically mandatory. We are living in an era where information flows at breakneck speed, making it an invaluable asset. The need to maintain accurate records, access data anytime, anywhere, and share information efficiently is leading to a significant change in the way administrations manage their documents,” he indicated.

 

The program of this meeting included five presentations given by the entities Archidoc, Inetum, Albadoc, Odilo and Ignos, which focused on the management of documents in the archiving phase and the transition from paper to electronic documents and the opportunities that offers artificial intelligence in this regard; the solutions to face the challenges of the digital transformation of archives; the digital transformation in the Canary Islands and specifically the current stage of the cloud archiving procedure, its preservation and the security it offers; and the increasing automation of digital files.

 

The meeting between archival professionals on the Island and software development companies aimed at improving and facilitating access to archives also served to exchange opinions, resolve doubts and establish contacts between participants.

 

The second deputy mayor and councilor responsible for the Municipal Archives pointed out at the end of the day that "many times the importance of municipal archives goes unnoticed, despite being in charge of the registration and transmission of thousands of historical and administrative documents that make up the local collective memory and allow us to understand the functioning and trajectory of society.” The objective of the meeting, she stated, “was to make it easier for archivists to learn about the IT solutions on the market and for companies specialized in this regard to know first-hand the needs, inconveniences and problems faced by archivists.”
